These are the signals worth looking for.
A job post for a HubSpot admin or a Salesforce administrator on LinkedIn or Indeed is the strongest signal on this page. The company knows it needs help and has set aside money for it.
BuiltWith shows when a tool first appeared on a site. A company that moved onto HubSpot in the last few months is still setting it up.
Several open sales roles at once means the old way of tracking deals is about to strain.
Crunchbase shows funding rounds. New money usually means a bigger sales team and a board asking for clean numbers.
No HubSpot or Salesforce showing up in BuiltWith and a plain contact form on the site. There is a good chance they track deals in spreadsheets.
At small companies the founder or the head of sales owns the customer database. At bigger ones it is the sales operations lead.
Take their admin job post and write back how you would cover each duty on it with your cost next to the salary of the hire.
It works because it answers a question they already asked in public.
Walk through it on a 15 minute call. Some duties on the post matter more than others and only they know which. The next step is hiring you instead of the admin.
A one page diagram of the pipeline stages and fields and reports a firm like theirs needs. Build it once for the industry and adjust it for each company.
It works because it shows them what good looks like before they commit to anything.
Go through it on a screen share next to their own setup. The differences are the project and seeing them side by side is what starts it.
Log in to their HubSpot or Salesforce and spend two hours fixing what bothers them most. Duplicate records or a broken pipeline or the report nobody trusts.
It works because they feel the difference straight away. The rest of the list becomes the project.
It starts with a 20 minute call to pick the fixes and get access. Book the two hours within a week of that call.
Each segment gets its own email because a specific email gets more replies than a general one. Split each segment by sub-industry too so the examples in the email fit the reader.
Keep each email under 100 words with one reason for writing and one line of proof and one offer and one question. The proof lines are examples of the kind of result to use. Swap in real results of your own before anything goes out.
Lead with their job post and offer to cover the role without the hire.
